Help & frequently asked questions

Find quick answers to the most common questions about Smartwebchat.

Getting started

How do I create my first assistant?
Sign up, click "Create assistant" and enter the URL of your website. Creates an assistant that uses your approved content as its knowledge base.
Do I need technical knowledge?
No. Smartwebchat is designed so that you can get started without any programming knowledge. To add it to your website, you simply copy a snippet of code.

What your assistant can do

Can my assistant book appointments?
Yes. You can connect your assistant to Calendly or Cal.com. Visitors then book directly in the chat window — without leaving your website. A connection to one of the two services is required for this.
What happens if the assistant cannot answer a question?
The assistant can hand the conversation over to you or your team. You then receive a notification, for example via Slack. The handover can be triggered automatically (based on defined conditions) or manually by the visitor.
Can the assistant approach visitors on its own?
Yes. You can set the assistant to show a message automatically after a certain time on a page — an offer or a question, for instance. This feature is called a proactive trigger and is configured in the dashboard.
Can the assistant ask for reviews?
Yes. You can have the assistant ask for a review automatically after a booking, after an enquiry or after a certain number of messages — or you trigger the request manually from the dashboard.
How do I see whether the assistant is making a difference?
The dashboard has an analytics section. It shows how many conversations took place, which questions come up often, how many leads and bookings resulted and what the running costs are.

Setup

How do I add the assistant to my website?
In the dashboard you will find an HTML snippet under "Embed code". Copy it into the <body> section of your website — immediately before the closing </body> tag. If you use WordPress or another website builder, you can paste the code into the HTML widget. Wix: Settings → Development & integrations → Custom Code → + Add Custom Code. Paste the snippet, choose “Body – end” under “Place Code in” and click “Apply”.
Can I customise how the chatbot looks?
Yes. In the dashboard you can adjust the colours, the greeting and the personality (for example professional or friendly) of your assistant.
Can I use my own domain for the chat?
Yes. You can add your own domain in the dashboard. After entering it you receive a verification step confirming that the domain belongs to you. The assistant is then reachable under your domain.
Which AI model answers my visitors' questions?
Mistral Small is used by default — a capable model hosted in the EU. Optionally you can select more powerful premium models from OpenAI. These give better answers to some requests but use up the monthly message allowance faster.
How can I improve my assistant's answers?
Phrase your FAQs the way your customers would ask. Review and edit the automatically generated answers in the dashboard. The more specific your FAQs, the better the answers.
Connecting Claude
When adding the connector, choose to sign in now in the authentication section and, in the OAuth client section, your own OAuth client with the client ID swcc_iTMNpUXolYz5QY8z9pZoqw. You will then be taken to the Smartwebchat sign-in and decide there whether Claude gets access to your account.

Knowledge base

How do I fill my assistant with knowledge?
There are four ways: (1) Read your website automatically — enter a URL and Smartwebchat extracts the content itself. (2) Upload files, for example a price list or a brochure as a PDF. (3) Type in question-and-answer pairs directly. (4) Paste your own text. The PDF upload is particularly useful when you have documents that are not yet on your website.
What do I do when my content changes?
You can have your website read again at any time. You can also add or remove individual sources (files, texts, FAQs) in the dashboard. We recommend updating the knowledge base after larger changes to what you offer.

GDPR & data protection

Is Smartwebchat GDPR-compliant?
Yes. Data is stored on servers within the EU, the standard AI Mistral processes in the EU, and email is sent from our own mailbox at Hetzner; only newsletters, review requests and four onboarding emails go via Brevo, an EU provider. All processors are named in our privacy policy, which also sets out which data is processed for what.
What data is stored?
Smartwebchat stores your account details (email address), the FAQs you create and the chat histories of your website visitors. Chat histories are deleted automatically after 30 days.
Is the chatbot identified as AI?
Yes, automatically. At the start of every conversation each visitor sees a notice that they are chatting with an AI assistant — not with a human being. This is a legal requirement (EU AI Act, transparency obligation) and is enabled in Smartwebchat.
Where is my data stored?
Your data is held on servers within the EU. With the standard AI model (Mistral, operated in the EU) no data leaves the EU. If you enable a premium model (OpenAI), requests are transferred to servers outside the EU — please take that into account in your own privacy policy.
Can I take my data with me if I cancel?
Yes. You can export your account data as a file (JSON) at any time. This is your right to data portability under Art. 20 GDPR. You will find the export in your account settings.

Billing

How does the trial work?
You get 14 days of free access. After the trial ends your assistant is paused until you choose a plan.
Which plans are there?
Single Customer (€149/month): 1 assistant, up to 5,000 messages per month included (standard model: Mistral Small, EU), further messages €5 net per 1,000 messages; knowledge base & RAG, analytics, your own branding. Premium models optional and charged by usage — they use up the included allowance faster. Agency (€499/month): 15 assistants included (each additional one €49/month), up to 25,000 messages per month included (standard model, pooled across all assistants), beyond that €5 net per 1,000 messages; premium models and embedding use up the allowance faster; central multi-tenant dashboard, a separate knowledge base per client, API & webhooks. Whitelabel on request. All plans can be cancelled monthly.

For agencies

As an agency, can I manage several clients from one account?
Yes, that is what the agency plan is for. You see all clients in one central dashboard and can switch between them there. Each client has its own knowledge base and its own settings — the data is kept completely separate.
How does the message allowance work with several assistants?
On the agency plan the monthly message allowance is pooled — it applies jointly to all of your clients' assistants. You do not have to divide the allowance between individual assistants. Once the included allowance is used up, usage-based costs apply (roughly €5 per 1,000 additional messages).
